Position Overview
We are looking for an HR Assistant to support the day-to-day operations of the Human Resources function through a variety of administrative, HRIS, employee records, reporting, benefits administration, and employee support activities.
This role plays an important part in delivering a positive employee experience while maintaining accurate and confidential HR information. Working closely with the HR team, you will contribute to HR programs, policies, and services that support a high-performing and employee-focused workplace.
Responsibilities
- Maintain employee records and HRIS data, ensuring information is accurate, complete, and processed in a timely manner
- Assist with HRIS system testing and support HR data integrity initiatives
- Maintain employee files and HR filing systems
- Prepare and maintain reports required to support Human Resources activities and management requests
- Respond to employee and manager inquiries regarding leave management, benefits administration, HR procedures, policies, and employee status matters
- Provide administrative support through the preparation of correspondence, employment letters, onboarding documentation, benefit packages, memos, and confidential documents
- Manage HR and Payroll Helpdesk inquiries received by email, phone, and in person
- Administer employee benefit programs and remain current on plan provisions
- Coordinate and conduct new employee orientation activities
- Support HR projects, research activities, and special assignments as required
- Assist with the administration of health, safety, and wellness initiatives
- Work independently while proactively seeking information, asking questions, and resolving issues through available resources and tools
Qualifications
- College diploma in Human Resources, Business Management with a Human Resources focus, or a related discipline
- Strong administrative and organizational skills
- Intermediate proficiency with Microsoft Office, including Word, Excel, and PowerPoint
- Experience working with HRIS systems; SAP experience is considered an asset
- Ability to manage data entry, document management, and administrative processes with a high degree of accuracy and attention to detail
- Excellent written and verbal communication skills
- Strong multitasking, prioritization, and time management skills
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information
- Ability to gather, analyze, and prioritize information effectively
- Bilingualism is considered an asset
Additional Requirements
- This is an administrative-focused Human Resources role with significant responsibility for document management, data entry, employee records, and HR system administration
- The successful candidate must be resourceful, possess strong critical thinking skills, and be comfortable working independently while collaborating effectively with internal stakeholders
- This position may be performed remotely. Employees located within approximately 50 to 60 kilometres of the Ottawa office may be expected to attend the office one to two days per week
- This is a temporary opportunity expected to run for less than nine months. Employees in positions of this duration are not eligible for benefits or GRSP participation.
Compensation
$52,000 to $55,000
